Invoicing Specialist

My responsibilities:

Communication with internal departments and suppliers:

  • Processing incoming invoices, including invoice acceptance, data verification, and forwarding for accounting 
  • Verification of supplier and customer data 
  • Checking payment terms 
  • Content verification of invoices, pro forma documents, and completion certificates 
  • Administration of supporting documents 
  • Initiation of the approval process 
  • Performing cost allocation 

Credit card and petty cash reconciliation 

Assisting in annual budget planning and year-end accrual processes

Keeping area-related documents up to date 

Administrative tasks related to contracts: 

  • Registration of contracts and database maintenance 
  • Initiation of the signing and authorisation process 
  • Checking contracts and monitoring expiration dates 
  • Coordinating renewal processes and informing relevant departments 

The knowledge I own:

  • Organized and independent work style
  • Process-oriented mindset
  • Experience in a financial role
  • Strong theoretical knowledge of finance and accounting
  • Experience in invoicing
  • Proficient user of MS Office (especially strong skills in Excel and Word)
  • Strict adherence to deadlines
  • 40% office presence required (2 office days per week)
  • Detail-oriented and precise work
  • Excellent verbal and written communication skills
  • Confident written and spoken English communication skills (knowledge of German is an advantage)
